Project Management

Project management is a crucial component in any localization business. Our team consists of highly experienced managers with excellent communication and problem solving skills.

Basic stages of a localization project are as follows:

  • Project analysis
  • Negotiation of costs
  • Selection of resources (translator, editor, terminologist, experts etc.)
  • Project scheduling
  • File preparation and hand-off
  • Supervision (i.e. status reports, batch deliveries, spot checks)
  • Query processing
  • Internal QA feedback processing
  • Final QA prior to delivery to client
  • Client feedback analysis and follow-up

All project management and technical support is carried out in-house, whereas most of the linguistic tasks are outsourced to carefully selected professionals.

Selection Procedure

At Transloc we realize that human resources are a critical asset; therefore, we spend considerable time and energy in finding and developing new language professionals. Selecting the best and most appropriate resource for any project is the key to delivering a high quality end product. The use of state-of-the-art management system helps us keep track of our resources efficiently and select the best available translators for a specific project. The entire localization process is recorded in our management system, so we can easily track the current and all the previous projects.
   
All Transloc translators hold a university degree and have several years of experience in translation.

Each new translator undergoes the following selection process:

  • evaluation of the resume;
  • first contact to establish the domains the translator is best qualified in;
  • test translations sent out for the domains specified;
  • two small jobs delivered on time and in line with our quality expectations.
Apart from these criteria, we expect all our translators to have the following:

  • strong computer skills;
  • broadband internet connection;
  • e-mail address;
  • mobile phone;
  • CAT tool proficiency (SDL Trados, SDLX, Wordfast, Transit etc.);
  • ability to receive fax messages;
  • MS Windows operating system (XP or higher);
  • MS Office  (XP or higher);
  • up-to-date antivirus software;
  • file compression utility (e.g. 7 Zip, WinZip, WinRar);
  • Adobe Acrobat Reader;
  • FTP client (e.g. FileZilla).

The translator is entered into our system as Active and can be considered for a larger job only having gone through these steps and meeting the above requirements. As part of our general policy we never assign big jobs to untested translators.

Quality Process

Translation at Transloc is performed only by qualified native speakers and their work is always edited by another linguist. After that, Proofreader or Project Manager performs the final QA.


Our internal and external professionals are familiar with our quality requirements, and we constantly make sure that these requirements are observed. Human resources are among our priorities, and we provide training and support to our team. We also provide transparent assessment of our internal and external resources on a regular basis – they receive feedback and comments (or review forms) from our editors. We have developed specific LQI (Linguistic Quality Inspection) and LSO (Linguistic Sign-Off) forms to be used at different production stages.

We have also introduced an evaluation system for all our providers based on two basic criteria: adherence to deadlines and language quality.

Our quality requirements are clearly stated in each Purchase Order we send out with each project. This basic checklist must be followed during all production stages.

  • Client-specific and project-specific instructions followed
  • Filenames unchanged, folder structure preserved
  • Correct tools, TMs and software versions used
  • Relevant reference material consulted, i.e. source PDF, style guides, glossaries and internet resources
  • No omitted text
  • No mistranslations. Target reflects the meaning of the source.
  • No formatting issues
  • No missing or misplaced tags; links work properly; correct styles, fonts, bulleted and numbered lists; hidden text properly handled; no errors with the index, tables of contents etc.
  • Appropriate QA tools used and checks performed
  • Files checked for consistency
  • No grammar mistakes, spell-check done
  • Terminology in line with generally accepted industry terminology, complies with approved client glossaries or software platform, e.g. Microsoft
  • No outstanding technical issues or linguistic queries left
  • No mark-ups or comments left in the files
  • Clean and unclean files delivered
  • Relevant e-mail subject used when delivering the files

Repeated failure to comply with these requirements may lead to the provider’s removal from our database.

All the information in any of the projects is treated as strictly confidential.

Terminology Management

Correct and consistent terminology is vital for any translation or localization project, therefore terminology is one of our priorities. We develop and update client-specific and project-specific glossaries and translation memories. We provide glossary creation, terminology mining and style-guide development services.

Whenever there is a need we assign our terminologist to assist the language lead, translators, editors and proofreaders with terminology queries. We maintain a network of shortlisted industry professionals which allows us to have access to their invaluable expertise.

We use SDL Multi Term, SDL Multi Term Extract and XLS spreadsheets for terminology maintenance.

At Transloc we use the latest technology and tools – including high-end servers, high-speed internet connection, remote desktop solutions, IM tools, etc. Automation of everyday tasks is one of our priorities. We also pay special attention to safety and data integrity – all the important data are backed up on a daily basis. We also use firewalls and latest antivirus software packages.
